In this role, you will work as a reliable and organized Administrative Assistant who manages the accounts receivable process and takes an active role in coordinating administrative activities that support the broader team.

The ideal candidate will be a self-starter who takes pride in keeping administrative workflows organized and efficient. This part-time, hybrid role offers 10-15 hours per week. The role will work from the office in Dresden at least one day a week.

Description:

What You’ll Be Responsible For:

  • Maintain accurate and up-to-date customer and supplier account records
  • Input data accurately and maintain financial transactions in QuickBooks
  • Prepare and send invoices by verifying service hours and materials used
  • Monitor payment deadlines and follow up with reminders as needed
  • Respond to customers inquiries in a professional and positive manner
  • Review employee timesheets and process bi-weekly payroll on schedule
  • Assist with accounts payable by reviewing supplier invoices, processing payments, and ensure accurate transaction in QuickBooks
  • Manage inventory of office supplies and employee clothing to support the team’s needs
  • Work closely with team members to ensure adequate stock of plumbing parts, supplies and equipment. Coordinate orders and verify deliveries.
  • Work closely with the owner to keep business records such as registrations, insurance policies, and licenses organized and current
  • Provide support and assistance with other duties and responsibilities as assigned.

 

What We’re Looking For:

  • At least one year of experience in a similar role
  • Previous experience with Quickbooks is preferred
  • Strong organizational skills with a focus on accuracy and attention to detail
  • Self-motivated, reliable, and positive individual with a desire to contribute to the larger team.
