Administrative Assistant
This Administrative Assistant role is a great fit for someone who brings care and integrity to their work, and finds meaning in creating calm, steady support behind the scenes of a wellness-focused practice.

In this role, you will work as a reliable and conscientious Administrative Assistant to support client billing and general administrative tasks. This part-time role offers 10–15 flexible hours per week. While some tasks may be done remotely once systems are established, staying connected and maintaining regular communication will be key to how we work together.

This role is a great fit for someone who takes care in their work, understands the responsibility of handling sensitive information, and feels aligned with supporting mental health and wellness. We’re looking for someone thoughtful, organized, and steady—someone who brings integrity to the details and helps create a calm, supportive experience for both clients and therapists alike.

Description:

This role supports the daily flow of the practice, making a meaningful difference through thoughtful work with a connected and compassionate team.

What You’ll Be Responsible For:

  • Use Owl Practice to keep client records up to date and manage daily billing with care
  • Send invoices to clients
  • Monitor payments and follow up gently on any outstanding balances
  • Monitor the general voicemail and email inbox; provide support and reach out to therapists for additional information when needed
  • Support new clients with intake forms, Owl account setup, and help facilitate their first steps with their therapist
  • Contribute to a calm, professional environment by keeping shared spaced organized, comfortable, and thoughtfully prepared
  • Maintain the website with current content and meaningful information
  • Maintain digital file systems to ensure information is accessible and compliant
  • Assist with basic tech troubleshooting for Owl Practice or communication tools
  • Support, coordinate, and help facilitate conferences and community presentations
  • Provide support and assistance with other duties and responsibilities as assigned.

  • Reliable and thoughtful, with strong follow-through
  • Values confidentiality and handles sensitive information with care
  • Comfortable working with numbers and digital billing platforms
  • Organized and able to manage tasks independently
  • Clear and professional communicator with a warm, grounded approach
  • Experience in healthcare, wellness, or therapy practice administration is preferred
  • Familiarity with OWL Practice or similar health billing platforms
