Accounting Coordinator – Squared Up Ledgers

Squared Up Ledgers provides bookkeeping, payroll, and accounting support to small businesses. The Accounting Coordinator plays a key role in keeping this work running smoothly, coordinating between clients, bookkeepers, and the internal team. The Accounting Coordinator will lead payroll processing for clients, support month-end activities, and taking ownership of a variety of client-specific accounting assignments. This position manages the internal workflows; tracking the progress of projects, following up on outstanding items, and ensuring deadlines are met. The ideal candidate is highly organized, comfortable managing multiple priorities at once, and confident communicating directly with clients. This is a 14-month contract, remote position with scheduled in-person visits, perfect for someone looking to apply their accounting and payroll expertise in a client-facing role.

Description:

What You’ll Be Responsible For:

  • Lead and actively manage internal workflows, ensuring clear coordination between clients, bookkeepers, and internal team members
    • Monitor workflows, track project progress, deadlines, and deliverables, following up with stakeholders when progress stalls or deadlines are at risk
    • Review project deliverables from bookkeepers, ensuring work is thorough, complete, and meets company standards, and provide feedback when deliverables fall short
    • Manage and complete client-specific assignments on a monthly basis
    • Reach out to clients about outstanding information and documentation
    • Communicate regularly with team members to align on priorities and anticipate challenges early to keep deadlines on track
    • Complete mid-year and annual reviews of client accounts to ensure all items are accurate and complete in preparation for the annual financial review
  • Lead the payroll process and review clients’ payroll in WagePoint, ensuring accuracy and timeliness
    • Manage and keep clients’ employee payroll records organized
    • Accurately process all payroll and employer source deductions, and ensure proper remittances
    • Calculate and track vacation pay, statutory holiday pay, and other entitlements in accordance with provincial legislation and client-specific policies
    • Process ROEs accurately for terminations, absences, or earning interruptions
    • Prepare and file year-end tax forms, including T4s, T4As, and T5018s
    • Assist clients with TD1 forms and payroll setup for new employee intakes
    • Provide payroll support to clients with care and timeliness
  • Support CRA audits by compiling required financial documentation
  • Assist with personal tax return preparation and review T1s for completeness
  • Contribute to month-end, quarter-end, and year-end closings, reviewing reconciliations, and support the preparation of financial statements
  • Stay current and compliant with tax laws, payroll, and financial regulations

 

What We’re Looking For:

  • Diploma or degree in Accounting, Finance, or a related field, or equivalent experience
  • Ability to manage multiple projects and deadlines simultaneously
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Comfortable working with clients in a professional manner
  • Working knowledge of accounting systems and payroll software
